Streamline Employee Access to Benefits Information with Customized Content

By Philip Joyner

Providing customized content on benefits microsites to different groups of employees can be challenging for HR departments. Our solution uses a single microsite with a CMS that allows HR departments to selectively assign content blocks to specific groups, streamlining the employee experience and simplifying the process of maintaining the microsite.

The Problem

Effective employee communications are crucial to the success of any company, and HR departments often struggle with finding the best way to provide customized content to different groups of employees on benefits microsites. This is because it requires creating and maintaining multiple versions of the same content, such as when certain job descriptions, departments, or unions have, say, different medical plan details, but still, need to access the same dental benefits information as other employees. To address this issue, and improve the employee experience, it is important for HR departments to have a streamlined process in place for customizing the content for different employee groups without unnecessarily complicating the process of maintaining the microsite.

The Solution

Our solution involves the use of a single benefits microsite with a content management system (CMS) that allows HR departments to selectively assign which content blocks are visible to specific groups of employees. This is done through a tagging functionality labeled “group visibility,” which allows HR professionals to choose the groups they want to be able to see a particular content block. To make it easy for HR departments to find and manage the various content variations, each variation of the content block is located on the same page. In addition, a filtering mechanism is implemented upon login to only show the relevant content blocks that have been assigned to a particular group.

Each group’s content is visible on the same page. On the right, you can select which group get’s to see their content here.

Benefits

There are several benefits to using a single microsite with a CMS that allows for customization and segmentation of content for different employee groups. One of which is a streamlined user experience for employees. They only see messaging that has been tailored to their group instead of having to navigate multiple separate sites with potentially redundant content.

Another benefit is speed, as it is much quicker to create a new variation of content within a single site than building and maintaining multiple sites with overlapping content.

Additionally, depending on the level of security implemented through the filtering mechanism, it is possible to prevent members of one group from accessing the content intended for another group. This could be useful for maintaining confidentiality and protecting sensitive information.

The problem of providing customized content to different groups of employees on a benefits microsite can be effectively addressed through the use of a single microsite with a content management system that allows for selective content assignment and a filtering mechanism. This solution offers a number of benefits, including a streamlined user experience, faster creation of content variations, and the potential for enhanced security. By implementing this solution, it is possible to ensure that all employees have access to the information they need, while also simplifying the process of maintaining the microsite.
